Architect Establishes Collaboration Web Site for International Retailer

THE CLIENT
The architect is a fully diversified retail architecture/design firm. They have completed contract drawings for over 10,000 retail stores around the country. With over 100 employees, their client base continues to grow as do their needs to advance technological support solutions.

THE ISSUE
With the need to multi-task design and construction responsibilities for unlimited design projects, the need for easily accessible and organized information is critical. The support consultants work under a distributed environment, with paper and electronic records literally flying in all directions. Considering the increasing speed required for informed decisions, present delivery methods of both hard copy drawings and electronic data are not keeping pace.

THE OBJECTIVE
To create a centralized virtual location for all client/project information that is easily accessible, utilizing real-time access over the Internet and offering advanced client tools. This creation of a "Digital Vault" will ensure long-term document security, accelerate retrieval of information to contractors and clients alike, and improve the efficiency associated with the present process.

THE SOLUTION
BW Reprographics ("BWR") was hired to show the value of creating a Web-based digitalized repository of project information. With the establishment of a joint assessment team, BWR guided the architect’s team through the establishment of a centralized Web site location. Utilizing the advancements of BWR’s Project Dox’s software, a sample site was created for one specific client retailer. All of the architect’s project information was uploaded to this advanced Web site, and then organized into specific approved project folders.

This new virtually-located information included: scanned drawings, report specifications, correspondence, submittals, color sketches and other project related data. A specific file folder structure was established separating each of 20 retailer’s projects now under design. Once the site was completed, access was given to approve project teams for file uploads, downloads and prints requests. The architect was now able to provide his retail client with an online location to securely collaborate all of his active project information.

Daily information is now electrically transferred, in real time, between each of the project teams, subcontractors, and the client’s designated representatives. Project Dox affords everyone the latest advances as a document management tool, as well as a printing portal.
